Markdown versions of documentation pages are available by appending `.md` to page URLs; this page is available as [Markdown](https://memoket.gitbook.io/hubspot/connect-memoket-to-hubspot.md). # Connect Memoket to HubSpot Use Memoket to save selected recording content as a note on an existing HubSpot contact, company, or deal. ## Before you begin * The HubSpot integration is available to free Memoket accounts. * Sign in to Memoket and have a HubSpot account available. * Make sure you can access the HubSpot records you want to use. If your HubSpot account restricts app installation, ask your HubSpot administrator to help connect the app. * To send a recording, wait until its processing has finished and the content you want to share is available. ## Connect your HubSpot account 1. In Memoket, open **Integrations**, then choose **HubSpot**. 2. Select **Connect**. 3. Complete the HubSpot authorization flow in your browser. Choose the HubSpot account you want to connect and review the requested permissions. 4. Return to Memoket and check that HubSpot shows **Connected**. 5. You can choose **Not now** when asked to set up auto-send. Connecting alone does not enable auto-send. ## Send a recording to HubSpot 1. Open a processed recording in Memoket. 2. Select **Share**, then choose **HubSpot** under **Send to**. 3. Under **CRM record**, select **Choose a record**. Search the existing **Contacts**, **Companies**, or **Deals** and choose the destination. 4. Select the available content you want to send: **Brief**, **Summary**, **Transcript**, or an available custom report. You can select up to 10 items, including the transcript. 5. Select **Send to HubSpot** and wait for the result. 6. Open the selected record in HubSpot to review the new note. Each share combines the selected content into one new note. Later edits in Memoket or HubSpot are not synchronized. Sending the same recording again with a new share creates another note. ## Set up optional auto-send 1. Open **Integrations → HubSpot** and select **Set up** in the **Auto-send** section. 2. Turn on **Auto-send**. 3. Choose a fixed HubSpot **CRM record**. 4. Select **Brief**, **Summary**, **Transcript**, or a combination of these. 5. Select **Save**. Auto-send applies only to new recordings after they finish processing. It does not send past recordings. All eligible new recordings use the destination saved in these settings; Memoket does not automatically match each recording to a different customer. Custom reports are available for manual sharing and are not part of auto-send. ## Disconnect HubSpot 1. Open **Integrations → HubSpot**. 2. Open the connected account menu and choose **Disconnect**. 3. Confirm **Disconnect**. Auto-send stops. Notes already created in HubSpot remain there. To remove an existing note, manage it in HubSpot. ## Troubleshooting | What you see | What to do | | -------------------------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------- | | Reconnect HubSpot to continue | Return to the HubSpot integration page, reconnect, and finish authorization. | | No records found | Try another search or record type. Check that the record exists in the connected HubSpot account. | | The connection does not have access to this record | Choose another record or ask your HubSpot administrator to check access and app permissions. | | Send is unavailable | Choose a CRM record and at least one available content item. Wait for the recording to finish processing. | | The selected content is too long | Shorten the content or select fewer items before sending. | | Result unconfirmed | Check the selected record in HubSpot before taking further action. The request may already have created a note; it will not be resent automatically. | | Unable to reach the service | Check your network connection and reopen the panel. If the problem continues, contact Memoket support. | | Settings could not be confirmed | Reopen HubSpot details to check the saved settings before saving again. | ## What data is shared Memoket reads existing HubSpot contacts, companies, and deals so you can choose a destination. It sends your selected recording content to HubSpot as a note associated with that record. It does not create or edit contact, company, or deal profiles, synchronize HubSpot note edits back to Memoket, or upload the original audio file to HubSpot. ## Need help? The sharing and auto-send screens show sample UI before a destination is selected; their Send and Save buttons are disabled.
